Privacy and data handling for pilot customers.

DehireDesk handles business contact details, organisation records, container workflow data, uploaded return evidence and detention invoice review records provided by users for the DehireDesk pilot.

Data provided by users

Container CSVs, return instructions, depot rejection evidence, dehire receipts, invoices, notes and generated evidence reports. DehireDesk accepts PDF, PNG and JPEG files up to 10 MB each. Customers should avoid uploading identity documents, payment details, health information or other information not necessary for the container workflow.

Operational use

Data is used to operate deadline workflows, preserve evidence chronology, generate reports, support pilot onboarding and provide customer-requested support.

Export and deletion

Pilot customers can request manual export of container records, evidence metadata and generated evidence-pack files or ask for active-system deletion during the pilot. If the pilot does not continue, the customer may request export and deletion from the active system within 14 days. Residual copies may remain in encrypted backups until those backups expire and will only be used for disaster recovery.

Business identity

The operator's legal name, ABN and registered business name are published before pilot payment and account activation.

Subprocessors

Hosting, email, backup, monitoring and payment providers are listed before live operational records are accepted.

Retention

Pilot records remain in the active system during the pilot unless export or deletion is requested. Encrypted rolling backups are retained for up to 30 days and used only for disaster recovery.
